Admin and Finance Manager

START : Immediate Start

The Administration and Finance Manager oversees the company's financial operations and reporting, as well as conducts administrative tasks such as communicating with clients and engaging in personnel decisions in a fast-paced small business environment. They exercise administrative control over many aspects of the financial operation of a business, including budgeting, payroll/human resources, and business planning. 

 

 

DUTIES WILL INCLUDE, BUT ARE NOT LIMITED TO: 

  • Principal human resources manager and handles payroll issues.

  • Maintains database of company policies and tracks adherence of company compliance with directives. This includes but is not limited to developing documents, spreadsheets, checklists, standard operating procedures, as appropriate. Maintains HR files (i.e. contract of employment, consulting agreements, insurance policies, letters of authority, etc).

  • Maintains basic accounting for company legers, in coordination with external accounts. 

  • Assists Operations Management with reports to contractors/prime vendors.

  • Prepares invoices and submits/tracks invoices to clients. Ensures proper record keeping.

  • Maintains basic accounting and record keeping of company legers. Prepares quarterly (and annual) reports to principal accounting.

  • Pays employment taxes to relevant State entities. 

  • Issues payroll to staff and makes wire transfers in support of U.S. government contracts. 

  • Travel accommodations and reimbursement – Books flights, accommodation and provides appropriate support to travelling staff. Receives receipts and insures end of month reimbursement. 

  • Participates in weekly ops/admin meetings. 

ADDITIONAL DUTIES

  • Assists Marketing and Product Development Manager in developing an accurate knowledge management database.

 

QUALIFICATIONS & IDEAL BACKGROUND

  • Bachelor’s Degree in business administration and/or finance management plus 3 years’ experience.

  • Lives in vicinity of the Hurlburt/Eglin/Duke AFBs area or Tampa.

  • Proficient with QuickBooks, Microsoft Office, and Google suite.  

  • Able to produce clear and concise communications. 

COMPENSATION & BENEFITS

  • This is a full time, salaried position.

  • Compensation is commensurate with background.
